How to Choose the Right PMS and IT Infrastructure in Hotel Investments?

A modern hotel operation is more than just elegant rooms and quality dining. Behind the curtain lies a massive IT network that must run 24/7, with a Property Management System (PMS) acting as its heart. The most common mistake in new hotel developments is leaving technology infrastructure and software selection to the last minute.

The wrong PMS selection or a poorly planned network architecture causes years of operational bottlenecks, integration crises, and thousands of dollars in unnecessary licensing costs. So, how should you select the best systems for your property and plan your technology investment? Here is our step-by-step independent IT assessment guide.

1. PMS (Property Management System) Selection Criteria

The PMS is the brain of your hotel. Reservations, room statuses, guest profiles, billing, and inter-departmental communications are managed here. When selecting a system, parameters like property size, Cloud-based vs. On-Premise alternatives, licensing models, and operational structures must be considered.

2. Integration Capacity: Getting Systems to Talk to Each Other

A hotel operates many systems beyond the PMS. POS terminals, electronic locks, IPTV, online channel managers, telephony, and accounting software are also active. You must verify if the chosen PMS offers official, licensed integrations (API support) with these peripheral systems. Lack of integration leads to manual data entry and errors.

3. Designing the Network and Wi-Fi Infrastructure

Fast and seamless internet access directly dictates guest satisfaction. The guest network and the hotel operational network must be separated using Virtual Local Area Network (VLAN) segmentation. Moreover, Wi-Fi 6 technology should be installed in high-density lobby zones, and hotspot platforms compliant with local internet logging laws (such as Law 5651 in Turkey) must be deployed.

4. Cybersecurity and Data Backup Policies

Since hotels store guest credit card data and personal identifiable information (PII), they are primary targets for cyberattacks. Network traffic should be monitored using enterprise firewall appliances, and server image backups must be duplicated daily both locally and to the cloud.
